Project Coordinator - Key Accounts

Role Summary

The Project Coordinator (“PC”) will play a critical role in managing and supporting Key Account’s enterprise customer-specific projects within RATIONAL USA’s Key Account team.  The RATIONAL Key Account team focuses on the largest domestic and global multi-location customers in the restaurant, retail, hospitality, and catering business segments. The PC will help RATIONAL stay close to our customers and best address their needs.  Areas of responsibility include supporting sales directors for high-level customer quarterly business reviews and interacting directly with partner dealers to arrange install schedules, rollouts, and resource coordination for nation-wide equipment programs.  They will also be responsible for proactive communication following equipment installations in order to build customer satisfaction.  This position requires an individual with excellent organizational skills, a keen eye for detail, and the ability to manage multiple tasks simultaneously.

 

The ideal candidate will have over three years of experience in project coordination, and a strong background in the food service manufacturing industry is a plus.  We are looking for a dynamic and experienced Project Coordinator with a customer-first attitude to join our Key Account team and contribute to our continued success. 

 

Areas of Responsibility

Customer Coordination & Support

  • Actively communicate with all stakeholders, both internal and external, on the timeline and information required to achieve a customer’s desired installation date. 
  • Work in conjunction with the Customer Care Team, customer, dealer, and local RATIONAL Service Providers (RSP) to coordinate and schedule the installation of RATIONAL equipment. This includes confirming the site is ready for installation, review of pre-site installation documentation, follow up with the RSP & customer prior to installation to confirm that installation is on schedule and completed.
  • Work in conjunction with the Customer Care Team, customer, dealer and local RATIONAL Certified Chef (RCC) to communicate confirmation RATIONAL chef training has been scheduled and completed.  This includes confirming the unit installation is complete, the RCC is scheduled in a timely manner, RCC has the customer specific information available in advance of the training and follow up with the customer to confirm training met their expectations.
  • Manage account specific project tracking document that allows for progress tracking against customer installation date benchmarks to allow for expectation management of both internal and external stakeholders.
  • Support customer meetings to effectively communicate project progress
  • Lead account-specific processing and management of consignment process

 

Sales Support 

  • Work in conjunction with RATIONAL Sales Directors to support customer project initiatives including: 
    • Assist with the data capture of new/onboarding accounts to exceed customer expectations.
    • Generate required content for quarterly business reviews as it pertains to project manager involvement with each account.
    • Be a support resource while Sales Directors are in the field with customers.
       

Project Manager Support

  • Work in collaboration with Key Account Project Manager (PM) to exceed customer expectations including:
    • Assist Project Manager with rollout projects for our premier accounts (as needed).
    • Collaborate on the build out and annual review of customer specific playbooks.
    • Collaborate with Project Manager on process improvement projects including playbook standardization, project tracking and communication improvement.

 

Customer Wellness Support

  • Actively participate in ongoing “wellness” outreach to further RATIONAL’s relationship with end users.
  • Update internal tracking forms to capture activity and site level feedback.
  • Communicate customer feedback and/or issues to appropriate internal stakeholders to alleviate customer pain points & challenges.
  • Escalate account level trends to sales leadership as they become visible.
     

Qualifications

Experience: Minimum of two years of experience in project coordination, preferably within the food service or manufacturing industry.

 

Education: Bachelor's degree in Business Administration or a related field is preferred, with certification in Project Management a plus.  Commensurate experience is acceptable.

 

Skills:

  • Proven aptitude in critical thinking
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in project management software (e.g., MS Project, Asana, Trello) a plus
  • Detail-oriented with a focus on accuracy and quality
  • Ability to work independently and as part of a team
  • Strong problem-solving and analytical skills
  • Knowledge and prior use of Salesforce.com

 

Certifications: PMP or CAPM certification a plus
