We are looking for a talented professional with superior administrative skills & experience, an exceptional project manager and integrity beyond reproach, to be the Executive Assistant to the EVP .  RATIONAL is a German manufacturer and seller of commercial cooking systems with over 40 years of experience.  Our U.S. headquarters is in Rolling Meadows, IL, and features modern offices, a Class A building complex, and the benefit of food prepared by professional chefs, among other perks.  This role will work directly with the EVP of North America to organize and assist in all areas under his authority.  This role is a high-profile position, reporting directly to the EVP daily and interacting with the C-suite and all USA employees, and indirectly with Canada, Mexico, and the German corporate office.  Our client offers a great place to work, with a strong compensation package and benefits plan. Executive Assistant Job Description

The Executive Assistant is responsible for supporting the EVP by managing projects and providing administrative and analytical support.  This includes extensive day-to-day interaction with Salesforce to extract information, to populate company reports, that includes, but is not limited to Tabular, Summary, Matrix and Joined reports.  This individual must be able to communicate effectively with the EVP and the Executive Leadership Team.  This requires a high level of responsibility beyond support functions and includes sales analysis, managing corporate activities, preparation of reports and working with the Executive team.


Duties and Responsibilities:

Specific duties and responsibilities include, but are not limit­ed to the following:

  • Handling confidential and sensitive information with poise, tact, and diplomacy; must maintain the highest level of confidentiality. This position cannot function without trust. Upholding confidentiality is imperative on all levels. 


  • The role will include day-to-day oversight of Salesforce including system administration, data analysis, user support, and continuous improvement. Basic administrative functions include user account maintenance, reports and dashboard building, workflows, and other routine tasks such as performance monitoring and communicating requests to the headquarters development team. Daily tasks will include creating and running basic activity and sales reports on daily basis for the EVP from SAP and SAM (70% of duties).


  • The role also includes support for the EVP in critical executive administrative functions.  (30% of duties.)
    1. Prepare PowerPoint presentations on behalf of the EVP and Executive team.
    2. Prepare meeting minutes and project updates for the EVP.
    3. Manages visits from important guests from RATIONAL AG headquarters and handles all their needs for the duration of their stay: hotel, car transfers, dinner reservations, etc.
    4. Arranges, in conjunction with other departments, special events sponsored by the EVP including invitations, site selection and related details.
    5. Maintains files used by the EVP and organization on an ongoing basis, modifying when necessary and applying company rules pertaining to retention and disposition.
    6. Has access to EVP calendar, scheduling appointments, conferences and speaking engagements and other commitments when necessary.


Candidates should have a minimum of four years’ executive-level administrative support experience.  The candidate must possess effective communication and analytical skills, both oral and written, as well as a minimum of 2 years working with Salesforce.  The job requires excellent computer skills as well as experience with Microsoft Outlook, Excel, Word, and PowerPoint.  The individual must speak fluent English, with Spanish or German as a plus.  A high degree of skill in grammar, spelling and punctuation are essential.  Must be able to successfully organize work, multi-task and work in a fast-paced environment.


Important qualification – This position requires a high level of discretion, tact, judgment, and poise and must have a solid aptitude for customer service.  Duties are highly confidential and require compre­hensive knowledge of the policies and operations of the organization.  The individual works indepen­dently under general instructions on a wide variety of special projects.  At the same time the individual will exhibit to a high degree an ability to work well with other internal staff of all levels and represent RATIONAL well when working with external individuals and organizations.
